When I returned to Vancouver in 2016 after working in a large corporation for almost 3 years, I was amazed to see how much cloud computing had moved ahead, particularly in the small business accounting field.

My learning curve was so steep!  There are now SAAS options for everyone!

Small businesses have access to solutions that were previously only available to large corporations after high cost, lengthy implementations.

One of my favourites is Hubdoc.

It is such a time saver, and is completely mobile.  Their vision is “no more data entry”, what’s not to like!

Everything in one place

As someone who likes to actively manage their bank and credit card accounts, multiple telecommunications bills, utility bills (and anything else you can think of) having all of the statements in one place, with one login is an absolute delight!  Add your financial institutions and various vendors to hubdoc and all the bills and statements will be fetched when issued.

Transactions posted directly to your accounting platform

Hubdoc is able to read (using OCR technology) your receipts, bills, and data, and publish them in QuickBooks or Xero. The connection is seamless.

On the go – using an app, and your smart phone camera

You may be using the QuickBooks app – another thing I love!  The hubdoc app takes things a step further – you simply scan a receipt where ever you are, and leave hubdoc to do the work.  Give hubdoc some time to work, log in and it will have read your receipt and determined where the entry should be posted in your accounting system.  You simply review the details, tweak them if necessary, and publish – everything is now updated!  The more you use it, the smarter it gets, until tweaking is rarely necessary, and you can publish automatically. Now, crumple up the receipt and discard (recycle) it!  A copy will be attached to the transaction in QuickBooks.

Vendor invoices – send via email or drag and drop them

If you receive invoices via email you can forward them to hubdoc.  You can also provide a hubdoc email address directly to your suppliers and employees, they can send invoices there for hubdoc to read.  You can also drag and drop attachments directly to your hubdoc account. By setting up vendor rules in hubdoc all your expenses will be classified and can be published automatically.  You can review the details to ensure they are correct in your accounting system prior to payment.

Fetch bills from up to 600 vendors

Hubdoc fetches my telecommunications and utility bills.  By configuring them in advance, these charges are automatically published in QuickBooks.  I even get a reminder email before they are due!

How can Hubdoc help me manage client information

If you are an accountant or bookkeeper you can have your client add their financial institutions and vendors and Hubdoc will fetch their documents.  You will not need any banking credentials.

Configure the hubdoc account to sync with QuickBooks or Xero and you will be able to ensure their information is up to date, and available to you in a timely manner.  Bank and credit card statements will also be available in real time to enable timely reconciliations.  No more waiting until the end of the year, or having to send multiple information requests to clients.  The app will make it easier for clients to capture the details of expenses prior to losing the slips, or putting them in their shoebox!

The ScanSnap scanner also makes it a breeze to deal with a backlog of information.  You can scan a large quantity of documents in a short time, they can be directly uploaded into hubdoc, where the OCR technology will read everything.  Give it some time, and then log in and review the results.  So much faster and more efficient than entering each one.

Data security

If you would like to know more about the security of your information in the cloud you can read my blog post here.  For extra assurance you can download documents from hubdoc and store them in another location.  Hubdoc can also be connected box or dropbox.
